Services · The Ring
Operations, automation and systems services for UK SMBs
Ten services across three arcs: process, people and systems. Used together they close the ring: the work is redesigned, the people who hold it are backed up, and the systems underneath stop leaking time. Used one at a time they still pay for themselves.
Most small and mid-sized businesses do not have an operations problem in one place. They have twenty small ones — an invoice inbox someone opens by hand, an enquiry that sat unanswered over a weekend, a spreadsheet only Sarah understands, a CRM that does not talk to the accounting package. Each is survivable. Together they slow the business down and make growth harder than it needs to be.
HAILO is an operations consultancy for SMBs in London and across the UK. We map where your operations lose time, redesign the work, and automate what repeats, using infrastructure you already own wherever possible. Below is the full range of what we do, grouped the way we actually deliver it.
Arc One
Process — take the monotony off your best people
The first arc is about the work itself: what repeats, what is manual for no good reason, and what should not exist at all. This is where business process automation for SMBs usually pays back fastest, because the tasks are high-frequency and low-judgement.
Automation of the Monotony
Invoice capture, purchase-order matching, expense coding, document filing and renewal reminders — handled end to end instead of by whoever has a quiet hour. These are the tasks that quietly consume your most expensive people: the finance lead re-keying supplier invoices, the office manager chasing a certificate that expired last Tuesday.
We automate the capture, the matching and the exception flag, and leave a human in the loop only where judgement is genuinely required.
Time reclaimed · Lower process cost
Front-Office Flow
Enquiry triage, booking confirmations, abandoned-enquiry recovery and quotation follow-up — so nothing dies quietly. Unanswered enquiries are an easy way for otherwise good opportunities to disappear. The enquiry arrives at 19:40, nobody sees it until Monday, and the customer has already booked elsewhere.
We build the routing, the acknowledgement, the follow-up sequence and the recovery step for enquiries that go cold — so the pipeline is worked by a system, not by memory.
Higher throughput · New revenue
Process Re-engineering
The work redesigned before it is automated, so you do not make a bad process permanent by making it faster. Automating a bad process is the most common and most expensive mistake in SMB digital transformation: it makes the wrong thing happen more reliably, and makes it harder to change later.
We map the process as it is actually run — not as the manual says — strip the steps that exist only because of an old system or an old argument, then automate what is left.
Materially lower process cost · Higher throughput
Arc Two
People — the knowledge that walks out of the door
The second arc addresses the risk no software fixes: capability that lives in one person’s head, training that happens by shadowing, and change that stalls because nobody sequenced it. Even good technology fails when people do not understand it, trust it or know how to use it.
Key-Person Knowledge Extraction
Many SMBs rely heavily on one or two people who know how things really work. They know why the pricing works that way, which supplier to call when the first one fails, and what the workaround is for the thing that has been broken since 2019. When they retire, resign or take a fortnight in Spain, the business slows down.
We capture that knowledge while it is still available and turn it into searchable, usable standard operating procedures that a new starter can actually follow — not a 90-page PDF nobody opens.
Risk mitigated · Workforce capability
Training Systems & Onboarding
An onboarding and training architecture for both internal roles and the products you sell. Most SMB onboarding is a week of sitting next to someone busy. That is expensive twice: the new starter ramps slowly and the experienced person stops producing.
We build the structure — role-based paths, the reference material, the checkpoints — so new starters can become productive faster and with less disruption to the rest of the team, and so the same system serves customer-facing product training when you need it.
Faster ramp-up · New capability
Leadership & Change Support
Direct support through the change itself: strategy, sequencing, and the awkward decisions that come with changing how people work. New systems fail at the point where someone has to give up a spreadsheet they built and trust. That is a leadership problem, not a software one.
We work alongside the owner or the leadership team through the transition — deciding what changes first, who is told what and when, and what happens when someone digs in.
Strong adoption · Faster decisions
Arc Three
Systems — one version of the truth, on infrastructure you own
The third arc is about the systems underneath the operation: the data, the integrations, the dashboard and the guardrails. This is where spreadsheet sprawl gets consolidated and where the “we have twelve tools and none of them talk” problem gets solved.
Human Accelerated Insights
Daily sales feeds, margin and waste analysis, and exception alerts — one dashboard instead of twelve spreadsheets reconciled at month end. The principle is simple: put the numbers someone needs in front of them on the day they need them.
Month-end reporting tells you what already happened. Daily exception alerts tell you what is happening while you can still change it — a margin slipping on one product line, waste creeping up on one site, a customer whose order rate just halved.
Faster decisions · New capability
The Connected Stack
Website, CRM, POS, finance and operations joined up — with no manual bridges, no CSV export at 5pm on a Friday, and no one person who is secretly the integration. Systems integration for SMBs rarely needs new software; it needs the software you already pay for to be wired together properly.
You own the infrastructure, the licences and the data. If our relationship ends, nothing you depend on goes with us.
Time reclaimed · Lower process cost
Website & Customer Outreach
Fast, mobile-first sites built for enquiry capture, with SEO foundations, booking integration and segmented campaigns. A website that looks good but does not capture the enquiry — or captures it into an inbox nobody routes — is a brochure, not an asset.
We build the site as the front end of the operation: the enquiry lands in the CRM, the booking hits the calendar, the follow-up sends itself.
New revenue · Higher throughput
Governance & Guardrails
Audit trails, document expiry tracking, policy reminders, and sensitive records handled to modern privacy rules. Automation without guardrails is just a faster way to make an error at scale — and UK GDPR obligations do not scale down because you are a small business.
We put the controls in as the automation goes in: who can approve what, what is logged, what expires when, and what happens to personal data you no longer need.
Risk mitigated · Compliance held
How an engagement runs
Every service above is delivered through the same four stages. Most engagements run around three months end to end; a single automation can be live in weeks.
| Stage | Typical duration | What you get |
|---|---|---|
| Diagnostic | 1–2 weeks | Where the hours and margin actually go, costed |
| Prioritisation | 1 week | Fixed scope and fixed fee, sequenced by payback |
| Build | 4–8 weeks | The work redesigned, automated and tested in production |
| Handover | Ongoing | Documentation, training and ownership transferred to your team |
Capacity, not headcount
The point of all ten services is the same: give a business more capability without adding cost to the payroll. The aim is not to replace people. It is to stop paying skilled people to do work that a system should be doing, and to give them back the hours they were hired for in the first place.
Common questions
- Do we have to buy all of these services?
- No. Most engagements start with one or two arcs of the ring. The diagnostic tells you which services would return the most time and margin first, and you can stop there. The ring is a map of what is available, not a package you have to take whole.
- How long does an operations engagement take?
- A typical engagement runs about three months: one to two weeks of diagnostic, a week to prioritise, four to eight weeks of build, then handover. Smaller single-service pieces such as invoice automation can be live in weeks.
- Do we need to buy new software?
- Usually not. Most SMBs already own more capability than they use — the CRM, the accounting package and the booking system can normally be joined up without adding another subscription. Where new tooling genuinely is needed, you own the licence and the data, not us.
- Do you work outside London?
- Yes. We are based in London and deliver remote-first across the UK, with on-site time where a process has to be watched in person — a warehouse floor, a kitchen pass, a service counter.
- What is Human Accelerated Insights?
- It is our name for putting the numbers a decision actually needs in front of the person making it, on the day they need them — daily sales feeds, margin and waste analysis and exception alerts in one place, rather than twelve spreadsheets reconciled at month end.
- How do you charge?
- Fixed scope, fixed fee, agreed after the diagnostic. You see the cost of the current process and the cost of fixing it side by side before anything is committed.
